Licence required before you start

Both Audio Recap and Video Recap require the Microsoft 365 Copilot paid add-on — $30/user/month (Enterprise) or $21/user/month for organisations with up to 300 users (Business). Neither is included in standard M365 plans or free Copilot Chat. Verify under Teams → Settings → Subscriptions or contact your Microsoft admin. Pricing reflects standard US list pricing and may vary by region, currency, or enterprise agreement.

Transcript status Cannot be deleted — if the transcript was deleted, the recap cannot be generated

The narrated output language is determined by the meeting transcript language and your tenant configuration. Supported languages:

Path 1 — Meet app
Recommended · meeting-centric access
  1. Open Microsoft Teams
  2. In the left nav, select Meet (or … View more apps → search Meet)
  3. Under Recent, find the meeting you want to recap
  4. Select View recap
  5. Choose Audio recap
  6. Click Generate

Access is now meeting-centric — there is no standalone "Audio recaps" tab. The recap appears in your list within minutes. Web access: m365.cloud.microsoft → Meet → Recent → View recap → Audio recap.

Path 2 — Meeting chat
Quick access from a specific meeting
  1. Open the meeting chat in Teams
  2. Select the Recap tab (use + to unhide if not visible)
  3. Choose Audio recap
  4. Teams redirects you to the Meet app with the recap ready

Best for accessing the recap for a specific meeting without navigating through Meet.

Path 3 — Calendar meeting details
From your Teams calendar
  1. Open Calendar in Teams
  2. Select the past meeting
  3. Scroll to Meeting recap
  4. Select View recap
  5. Choose Audio recap
  6. Generate or play from the Meet app

Useful when browsing past meetings from your calendar view rather than from a chat thread.

Play an existing recap
Access recaps created on any device
  1. Open the Teams mobile app
  2. Tap Calendar
  3. Tap the Audio recap icon in the top-right corner
  4. Select a recap to play

Playback controls include pause, skip, and speed adjustment. Recaps created on desktop sync automatically to mobile.

Generate directly from your phone
  1. Open the Teams mobile app
  2. Tap Calendar
  3. Tap the Audio recap icon in the top-right corner
  4. Tap + to create a new recap
  5. Select the meetings to include
  6. Tap Generate

Best used when you want to queue a recap for your commute.

Cross-device sync

Recaps created on desktop appear automatically on mobile and vice versa. You do not need to regenerate — the audio file is stored in your OneDrive and accessible from any device.

Teams Premium alone does not unlock Audio Recap. The full M365 Copilot paid add-on is required.
Fix: Contact your admin to verify licence assignment under Microsoft 365 Admin Center → Users → Active users.

Transcription was not enabled during the meeting
Audio Recap has no text to work from without a transcript. The recap button will not appear for meetings without one.
Fix: Make it a habit to start transcription at the beginning of every meeting you want to recap later.

Meeting was hosted by an external organisation
Audio Recap only works for meetings organised within your own tenant. Guest-hosted or external meetings are not eligible.
Fix: No workaround — Audio Recap is unavailable for externally hosted meetings.

Meeting exceeds your org's transcript retention period
Teams defaults to 120 days, but admins can set it lower (30 or 90 days). If the transcript has expired under your policy, the recap cannot be generated.
Fix: Ask your admin for your org's transcript retention setting. Generate recaps before they expire.

Transcript was deleted
If the meeting organiser or admin deleted the transcript, the recap cannot be generated retroactively.
Fix: Review transcript retention policy with your admin. Consider enabling auto-save for transcripts.
Copilot or transcription disabled by tenant policy
Admins can disable Copilot features or transcription org-wide or per user group via Teams admin center.
Fix: Contact your Microsoft 365 admin to check Copilot and transcription policies in Teams Admin Center.
🎬 Video Recap is now in Public Preview

What it is: Video Recap generates narrated highlight reels from recorded meetings — short clips of key moments combined with an AI-generated audio narration. Different from Audio Recap, which works from transcript only.

Current limits (preview): Requires a recording — transcript alone is not enough. Meeting must be 10–90 minutes (verify in preview). English only. Available in Teams desktop and web — not yet on mobile. Available 10–15 minutes after the recording upload completes.

Licence: M365 Copilot paid add-on — same as Audio Recap.
